Lapland Hotels General Booking Terms for Accommodations
To ensure smooth travel arrangements, you must comply with the following terms and recommendations, unless otherwise agreed.
Terms for Online bookings:
Unless otherwise specified in the price terms, a reservation can be cancelled at the latest 8 days before arrival. You will be charged 50 % of the value of your whole reservation. If you cancel your reservation less than 8 days before arrival or fail to arrive, the cancellation fee is 100 %. The service fee for changing your reservation is € 20. All reservations are paid in the Online Store at the time of booking.
The sales price condition mentioned with the price is an exception to the general delivery terms of the Online Store:
- Flexible Rate For Lapland Hotel Tampere and Lapland Hotel Oulu: free cancellation until 18:00 on the arrival date, and possibility to pay at the hotel.
- Flexible Rate for other Lapland Hotels destinations: free cancellation at the latest 7 days before arrival. Cancellations made later and failures to arrive (no-show) are charged at 100 %.
- Non-refundable Rate: the reservation cannot be changed or cancelled.
TERMS FOR MEMBERS OF LAPLAND CLUB
Cancellation terms are valid for reservations made online or through Lapland Hotels Booking Service. Cancellation can be made without costs until 7 days before arrival, if cancelled later or you do not arrive, the cost is 50 % of the value of the reservation. Special terms are not valid between December 23rd - January 8th.
TERMS FOR INDIVIDUAL BOOKINGS
The booking is confirmed by making a deposit of 100% of the full price for reservations for a 1-3 day stay and 50% of the full price for reservations for stays longer than 3 days. The remaining amount must be paid 30 days before the date of arrival.
Confirmed bookings can be cancelled up to 31 days before the date of arrival for an administrative fee of 45€. If the cancellation is done after this time, the deposit will be forfeited. Reservations made within 31 days of your arrival date can be cancelled free of charge until the deposits due date. If the booking is done so close to the arrival date that an advance payment would not appear in our account before arrival, the booking is confirmed by a credit card.
TERMS FOR GROUPS OF 11–50 PEOPLE
The booking is confirmed by making a deposit of 10% of the full price, due date as agreed between the parties. The booking fee is non-refundable in case of cancellation. 50% of the full price of the reservation must be paid 45 days before the date of arrival and the rest 21 days before arrival. You must provide us with a name/rooming list 14 days before the date of arrival.
- For cancellations made 45 days before arrival, a 10% cancellation fee applies.
- The fee for cancellations made 14-44 days before arrival is 50%.
- The fee for cancellations made 13 days before arrival or less is 100%.
PLEASE NOTE! Terms for groups of 50–90 people shall apply between 21.12.- 4.1. and during Easter.
TERMS FOR GROUPS OF 50–90 PEOPLE
The booking is confirmed by making a deposit of 10% of the full price, due date as agreed between the parties. The booking fee is non-refundable in case of cancellation. 50% of the full price of the reservation must be paid 2 months before the date of arrival and the rest 21 days before arrival. You must provide us with a name/rooming list 14 days before the date of arrival.
- For cancellations made 60 days before arrival, a 10% cancellation fee applies.
- The fee for cancellations made 59-31 days before arrival is 50%.
- The fee for cancellations made 30-0 days before arrival or less is 100%.
TERMS FOR GROUPS OF MORE THAN 90 PEOPLE
Agreed on a case-by-case basis.
PAYMENT METHODS FOR GROUP SERVICES
The payment method for group services should be agreed between the parties with booking confirmation. Only one invoice will be issued for one group. Available payment methods are an advance payment to our bank account and a credit card payment. A signed credit agreement will be required in case of supplementary bills.
NAME LISTS FOR GROUPS
You must provide us with a name lists for the group no later than 14 days before the date of arrival. The hotel will send a name list template to the group leader after confirmation. The following information must be stated on the name lists:
- Group name, duration of the stay, names and nationalities of the guests, and room allocation.
- Contact information for the group leader and the estimated arrival and departure times
- Special dietary needs and other special requirements
TERMS AND CONDITIONS FOR ORDERED SERVICES
Conference rooms, catering and restaurant services must be confirmed and the times and requests specified 14 days before the date of arrival at the latest. The number of persons must be confirmed and specified at least 5 working days before the start of the visit: Changes made 5-2 days before arrival to the number of persons in attendance for catering services will be invoiced according to +/-10%. Catering and conference rooms will be invoiced accordingly.
OTHER TERMS AND CONDITIONS
For reasons beyond its control, the hotel may, after consulting with the client, transfer the booking to an alternative accommodation of at least the same standard. The hotel will reimburse the client for any immediate costs caused by the transfer.
If the deposit has not been received by the due date, the reservation is considered cancelled. Check-in time starts at 3 pm. Check-out time is by 12pm on the date of departure. The law on package travel does not apply to hotel reservations. These fall under the accommodation and catering statute. The hotel may deviate from these regulations, in which case the hotel’s own regulations shall be stated separately in the reservation.
We recommend that our clients obtain a travel insurance to cover any contingencies, because the hotel has no obligation to accept cancellations without cancellation fees, based on e.g. a medical certificate or other documentary evidence.
Lapland Hotels reserves the right to cancel a reservation due to force majeure (the hotel cannot deliver the agreed services due to a factor that affects its operations e.g. strike, fire, water damage, natural disaster, state of war etc.). In such cases the booking fee will be reimbursed to the client.
